Who we are
Airsparow ("we", "us", "our"), 128 City Road, London EC1V 2NX, United Kingdom, is the controller of the personal data described in this policy. We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. If you have any questions, contact us at reservations@airsparow.com. We never sell your personal data.
The data we collect
- Identity and contact details: name, title, postal address, email address and phone number.
- Traveller details: date of birth, gender, nationality, passport details, frequent-flyer numbers and the names of people travelling with you.
- Payment information: billing name and address, and payment confirmation details (such as the amount, date and last four digits of the card). Card numbers and security codes are entered directly on the secure payment page of Stripe — including when you book by phone and we email you a payment link — so we never see or store your full card details.
- Special requests: meal preferences or accessibility needs you ask us to pass to the airline. Health-related information is special category data, which we use only with your consent and only to fulfil your request.
- Booking history: searches, quotes and bookings you make with us.
- Communications: emails, messages and call recordings (we tell you at the start of a call if it may be recorded for quality and training).
- Technical data: IP address, browser and device type and pages viewed, collected through strictly necessary cookies and server logs.
How and why we use your data
We only use your personal data where the law allows us to:
- To perform our contract with you — searching fares, making, ticketing and managing your bookings, taking payment, and sending confirmations and schedule-change notices.
- To meet legal obligations — for example Advance Passenger Information required by border authorities, tax and accounting records, and fraud-prevention duties.
- For our legitimate interests — preventing fraud, keeping our Site secure, improving our service and handling complaints, balanced against your rights.
- With your consent — sending marketing emails and handling health-related requests. You can withdraw consent at any time.
Who we share it with
- Airlines and travel suppliers who provide the travel you book, and the systems used to book it.
- Government and border authorities in the UK and the countries you travel to, where required by law.
- Service providers who help us run our business — including Stripe for payments, email and IT hosting providers, and fraud-prevention and security services (such as Cloudflare) — under contracts that protect your data.
- Others where required — to comply with the law, protect our rights or in connection with a sale of our business.
International transfers
To provide international travel we must share your data with airlines, suppliers and authorities outside the UK. Where we transfer data to service providers outside the UK, we use appropriate safeguards such as the UK International Data Transfer Agreement or adequacy regulations. Transfers to airlines and authorities for your trip are necessary to perform your contract.
How long we keep it
We keep booking and payment records for six years after your trip to meet tax and legal requirements, and marketing data until you unsubscribe. After that, data is securely deleted or anonymised.
Your rights
Under UK data protection law you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased, where we no longer need it;
- restrict or object to how we use it, including objecting to direct marketing at any time;
- receive your data in a portable format;
- withdraw your consent where we rely on it.
To exercise any of these rights, email reservations@airsparow.com. We will respond within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk, although we'd appreciate the chance to resolve your concern first.
Marketing
We only send marketing emails if you have subscribed or are an existing customer who has not opted out. Every email includes an unsubscribe link, and you can also ask us to stop at any time. We will still send messages about your bookings.
Cookies
We currently use only strictly necessary cookies. See our cookie policy for details.
Children
Our Site is not intended for children. We collect children's details only from a parent or guardian booking travel for them.
Security
We use technical and organisational measures to protect your data, including encrypted (TLS) connections, access controls and PCI DSS–compliant payment processing. If a data breach is likely to put you at risk, we will tell you and the ICO as required by law.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page.
